Policies

1. TUITION

Tuition must be paid by automatic credit card payment. Tuition will be charged to your credit card on file the 1st day of each month. Tuition is never prorated for missed lessons. Tuition does not include any retail teaching materials such as books or instruments.

 

2. CANCELLATIONS AND MAKEUPS

In order to maintain student progress, the school schedules substitute teachers when a regularly scheduled teacher is ill or otherwise unable to teach. No refunds or make-up lessons will be given if the student does not attend a lesson with a substitute. If no substitute is available, the student will be offered a make-up lesson at a later date. For any lesson missed by a student, a student has the choice to: 1. attend an online lesson at their scheduled day/lesson time, 2. receive a customized video recorded lesson, 3. sublet their lesson time to a family member or friend, or 4. attend a  group make-up class.  WCMA holds one hour group make-up classes every weekend. The classes are age and level appropriate.  To sign up for a makeup class, go to the WCMA dashboard and sign-up for the appropriate class.

 

3.  EXTREME WEATHER

If the school must cancel classes due to extreme weather or events beyond our control, such as snow or power outage, teachers will provide either a live video lesson during the scheduled lesson day/time if possible or lessons will be rescheduled during one of our holiday breaks.

 

4. DISCONTINUING LESSONS

To stop lessons or classes, just click "cancel" in your WCMA dashboard account any time before the next monthly billing cycle. Absolutely no refunds will be given for unused lessons.

 

5. CARE OF STUDENTS

The school is not responsible for providing before or after care for students. Parents with children under the age of eight must remain in the lobby during the classes. Students are not to be left at the Academy for excessive time periods before or after their lessons.  Students are expected to follow a code of behavior at all times while on such premises. Damage to any property of such premises or inappropriate behavior will not be tolerated and students will be subject to dismissal from the program without refund.

6. OPEN DOOR POLICY

7. Parents are always allowed to sit in during lessons. We have an open door policy for lessons.  

 

7. INJURIES

Parents, legal guardians of minors, students and adult students waive the right to any legal action for any injury sustained on Academy property resulting from normal lesson activity or any other activity conducted by the students or their siblings before, during, or after lesson time, including hearing loss or hearing damage. The West Chester Guitar Academy is not responsible for any damage done to vehicles or items stolen from vehicles. 

8. MUSIC FUNTIME PROGRAM

Tuition: $99 monthly group classes. Tuition is collected monthly, every 1st of the month tuition will be processed. One Time Registration fee: $75.00 FOR ALL CLASSES. Monthly tuition is based on the average of 4 lessons per month. We operate on a 48-week year. During the months that you have 5 lessons, we do not charge you more. During the months that you have 3 lessons, we do not charge you less. The tuition is the SAME each month. Any dates we are closed due to uncontrollable circumstances such as weather, we will schedule a makeup class.  No credits will be given for missed classes. Instead, we allow up to 4 drop-in make-up lessons per year. If you need to cancel a lesson, simply call, email, or text us before the start of your lesson. You can book your make-up lesson up to one week in advance, and it can be used anytime while enrolled with us.

 

9. PICKING UP

Children must wait for their parents to pick them up inside the Academy. Please do not ask them to meet you elsewhere. The WCMA assumes no responsibility for children who leave unaccompanied.

 

10. CONSENT FOR DIGITAL COMMUNICATION AND MEDIA RELEASE

WCMA is given consent to send notices and information regarding lessons, events and future registrations to student families by email, text and other digital methods. Student information will not be shared with any outside companies or parties. The school reserves the right to take photographs and videos of students to use in educational and promotional materials.
